How Waveney Cleaning uses and protects personal information when you contact us, request a quote or become a customer.

Who is responsible for your information?

What information we collect
Depending on how you contact us and the service you ask about, we may collect:
- your name, telephone number, email address, postcode and property address or name;
- the services you are interested in and information about the property, access, size, condition and cleaning requirements;
- photographs that you choose to upload with a quote request;
- quote information, prices, revisions, booking and job records, invoices and payment records where relevant;
- messages and other correspondence between you and Waveney Cleaning; and
- basic technical and security information generated when the website is used, such as request times, IP addresses, browser information and security logs where these are recorded by our hosting or security systems.
Please avoid including information about other people, or sensitive personal information, unless it is genuinely necessary for your enquiry.
Why we use your information and our lawful bases
We use personal information only where we have a lawful reason to do so:
- Quotes, enquiries and bookings: to respond to you, assess a job, prepare or revise a quote and take steps you request before entering into a service contract. Our lawful basis is normally contract or steps taken at your request before a contract.
- Providing cleaning services: to arrange visits, communicate about access, carry out work and administer the customer relationship. Our lawful basis is normally contract.
- Accounts and legal records: to keep records we are required to retain for tax, accounting or other legal purposes. Our lawful basis is legal obligation.
- Security, administration and disputes: to protect the website and business, prevent misuse, maintain appropriate records and establish, exercise or defend legal claims. Our lawful basis is our legitimate interests in operating and protecting the business, provided those interests do not override your rights.
- Marketing: we do not use a quote or enquiry as permission to send unrelated electronic marketing. If we introduce optional email or text marketing, we will obtain any consent required before sending it.
How the online quote works
The quote form may use the information you provide to calculate a suggested or estimated price, or to decide that a quote needs manual review. This is an administrative pricing tool rather than a final automated decision: submitting the form does not create a booking, and quote details and prices can be reviewed or changed by Waveney Cleaning before work is agreed.
Public Google reviews
If you publish a review of Waveney Cleaning on Google, we may display the public review on this website using our Google Business Profile connection. The information displayed may include the reviewer name shown by Google, star rating, review text and review date. We do not import reviewer profile photographs for the website carousel.
Our lawful basis is our legitimate interests in showing genuine customer feedback about our services. Review data is periodically refreshed from Google so that edits or removals can be reflected in our local display cache. Your review remains controlled through Google, and you can edit or remove it using your Google account.
Who we share information with
We do not sell personal information. Where necessary, information may be handled by trusted service providers that support our website hosting, email, security, file storage or business administration, and by professional advisers such as accountants where appropriate. We may also disclose information where the law requires us to do so or where it is reasonably necessary to establish, exercise or defend legal rights.
The website currently loads the Poppins typeface through Google Fonts. When your browser requests that font, standard connection information such as your IP address and browser details may be sent to Google. We do not use Google Fonts for advertising or behavioural profiling.
International processing
Some technology providers may process limited information outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, we expect the relevant provider to use an approved transfer mechanism or other lawful safeguard.
How long we keep information
- Enquiries and quotes that do not become jobs: normally up to 12 months after the last meaningful contact, unless there is a reason to keep them longer, such as an unresolved dispute.
- Quote photographs: normally up to 12 months where the quote does not become a job. If work proceeds, relevant photographs may be retained with the job record where reasonably needed as evidence of the property, scope or completed work.
- Customer, invoice and transaction records: for the period required for tax, accounting, contractual and legal purposes, normally up to six years where appropriate.
- Website and security logs: for a limited period according to operational and security needs and the settings of the relevant hosting or security service.
We may keep information longer where reasonably necessary for an active complaint, claim, legal requirement or investigation.
Your data-protection rights
Depending on the circumstances, you may have rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, transfer of certain information, or to object to processing based on legitimate interests. Where processing is based on consent, you can withdraw that consent without affecting earlier lawful processing.

Complaints

Cookies and similar technologies
The website uses essential session and security functionality needed to operate forms and protect the site. We also use our self-hosted Matomo analytics service in cookieless mode to understand page views, traffic sources and interactions such as quote starts, service selections, quote submissions and contact-link clicks. Matomo is self-hosted at analytics.strangeduck.co.uk; we do not use it for advertising or cross-site behavioural profiling. See our cookie policy for more information.
Website analytics
For website analytics, technical request information such as IP address, browser/device information, page URL and event information may be processed by our self-hosted analytics system. We use this information to understand website performance and improve the enquiry and quote journey. We do not send names, email addresses, phone numbers, postal addresses or free-text quote content to Matomo.
Changes to this notice
We will update this notice if the way we collect or use personal information materially changes, including before introducing advertising or other tracking that requires additional information or consent.
